Once you’ve been tendered a shipment, you can manage it by adding tracking, downloading the Rate Confirmation, bill of lading (BOL) and uploading documents, and adding notes for the shipper to see. In order to provide the best service as a carrier, it’s important to utilize these features to ensure transparency with each shipment you take.
If you have any questions about a shipment that you are on, reach out to the Carrier Representative with whom you booked the load. You can find their name, phone number, and email on the Rate Confirmation in the shipment.
How to Track a Shipment
When in the Shipments tab, click the Emerge ID of the shipment you want to add tracking to.
Click ADD TRACKING METHOD at the top of the page.
Enter the Driver’s Phone Number and click SAVE. Note: The number must be a real phone number, rather than a VOIP. If the phone number is not valid, you will not be able to start tracking.
Once the phone number is saved, a text message will be sent 3 hours prior to the pick up with two links. One will direct the driver to the application store to download the P44 application, and the other will be a link directly to the shipment in the application if the driver already has it downloaded, where they can accept tracking. When the load is accepted in the application, the shipment will start tracking from 3 hours before the load picks up to the moment the driver leaves the Consignee. You can view the progress of shipments within the shipment. Note: Shippers are able to view this tracking once it has been set. In order for the tracking to work, the P44 application must be on for the entirety of the trip.
The Shipment Status column in the Shipments tab will also show tracking updates.
How to Download the Rate Confirmation, the Bill of Lading (BOL), and Upload Documents to a Shipment
Click the MANAGE tab on the left side of the screen, select Shipments, and select the Emerge ID of the shipment you want.
Scroll down the page to the Documents section and click DOWNLOAD BOL. This will download a PDF that contains the necessary information to pick up the load. Click ADD DOCUMENT to upload documents such as a proof of delivery or lumper receipts.
A window will pop up on your screen, where you can click BROWSE to find the file or use the Drag & Drop feature, and then click UPLOAD to attach the document to the load.
You can find the Rate Confirmation in the Documents section as well. Click the blue hyperlink with the Shipment ID to download the PDF.
The Rate Confirmation will not only have the rate for the shipment you are taking, but also the name of the Carrier Representative with whom you booked the load in the “FROM” section. You can also find their direct line and email address in that same section.
How to Add Notes in a Shipment
Click the MANAGE tab on the left side of the screen, select Shipments, and select the Emerge ID of the shipment you want to add notes to.
On the right-hand side of the screen, you can type in the Write a note… section and then click ADD NOTE. This is where you can add driver information, such as their name, number, truck and trailer number, and dispatcher information. Note: The shipper can see the notes you enter in the load, and they can also add notes that you are able to see.
