How to Submit RFP Bid

If you've been invited to participate in a Shipper's RFP Event, you can submit bids via the Emerge RFP platform. There are two ways to submit your bids: In-App Bid Submission and Upload Bid Submission via File.

In-App Bid Submission

In-app submission is ideal for events with limited lanes, mini-bids, or if you prefer to avoid spreadsheets.

Submit a Bid

  1. Locate the RFP Event
    From your Dashboard, find the RFP Event under the "Bidding Open" section.

  2. Click "Bid"
    Click on Bid to open the Lanes tab.

  3. Select the Lane to Bid On
    Click on the lane you want to bid on. The submission menu will pop up on the right side of the screen.

  4. Fill Out Bid Details
    Complete the required fields in the submission menu and click Submit.

    • Hover over the question mark icon to see detailed explanations of each field.

    • Required fields will be marked with a red icon.

  5. Confirm Bid Submission
    Once your bid is submitted, you’ll see a confirmation icon next to the lane name.

Edit a Bid

  1. Go to the Lanes Tab
    From the RFP Event, navigate to the Lanes tab.

  2. Click the Lane to Edit
    Click on the lane where you want to modify your bid.

  3. Change the Bid Amount
    Enter your new bid amount and click Submit to save the updated bid.

    • If any lane data changes after your submission, a banner will appear with the message "Event Data Has Changed".

Delete a Bid

  1. Go to the Lanes Tab
    From the RFP Event, navigate to the Lanes tab.

  2. Select the Lane to Delete
    Click on the lane you want to remove your bid from.

  3. Click "Delete Bid"
    Confirm the deletion by clicking Delete in the pop-up window.

    • Important: This action cannot be undone.

  4. Bulk Delete
    To delete multiple bids, use the checkboxes on the left side of the Lanes table, select the desired lanes, and click Delete.


Tips and Tricks for In-App Submission

  • Quick Navigation:

    • Press [J] to move to the previous lane.

    • Press [K] to move to the next lane.

  • Download Bid Data:
    You can export your bid submissions by clicking Download Lanes.

  • Multi-Round Events:
    If you’re participating in a multi-round event, you can check previous round data by going to Events > Your Event Name > Round X.

Upload Bid Submission via File

If you’re dealing with bulk uploads or prefer working with Excel, you can submit bids by uploading a bid submission file.

Upload Bids

  1. Locate the RFP Event
    From your Dashboard, find the RFP Event in the "Bidding Open" section.

  2. Open the Lanes Tab
    Click Bid to open the Lanes tab.

  3. Download the Lane Template
    Click Download Template to get the Excel file template for your bid submission.

  4. Fill Out the Template
    Open the template in Excel and complete the fields. Fields with orange columns are required.

    • If you need more information about a column, click the column header to see descriptions.

    • Some columns may have dropdown menus for easy selection.

  5. Upload the File
    Once you’ve filled out the file, click Upload Bid Response or drag the file into the upload window.

    • The latest version of your uploaded file will be submitted, replacing any previous versions.


Edit Bids via File Upload

  1. Download Latest Template
    If the event data has changed, click Download Lanes to get the updated template.

  2. Update the Template
    Open the file, make necessary changes to your bids, and save it.

  3. Re-upload the Updated File
    Follow the same steps to upload your updated file.

    • Note: If the lane data has changed since your last upload, a banner will notify you with the option to view the new changes.

Delete Bids via File Upload

To delete bids from the uploaded file, follow the same steps as in the In-App Bid Submission section.

Troubleshooting Errors When Uploading Bids

If you receive an error when uploading your file, you may be asked to download an error file.

Troubleshooting Errors When Uploading Bids

If you receive an error while uploading your bid file, follow these steps:

  1. Download the Error File
    Click DOWNLOAD to get the error file that lists which bids need correction.

  2. Fix the Errors
    Open the file and check the "Errors" column for messages. The rows highlighted in yellow indicate where changes are needed, and the cells highlighted in red show the exact field that needs correction.

  3. Update Your Lane Template
    Make the required changes in the original Lane Template file.

  4. Re-upload the Corrected File
    Upload the fixed file by following the steps above.

Example Error Messages and Solutions

  • Missing Columns or Incorrect Headers
    Error: "The file upload failed. The file either has incorrect column headers or is missing columns altogether." Solution: Download a new template and transfer your bids to the new file, then upload it.

  • Volume Exceeds Estimate
    Error: "Volume entry cannot exceed estimated volume value." Solution: Ensure your volume is between 1 and the shipper's estimated volume.

  • Rate Limits
    Error: "Flat Rates must be >= $100 RPM Rates must be between $0.20 and $150." Solution: Ensure your rates are within the allowed range.

  • Decimal Places Issue
    Error: "The following fields cannot have more than two decimal places." Solution: Adjust the cell to two decimal places, especially if the formatting hides extra decimals.

  • Missing Required Fields
    Error: "The following required fields are missing: Rate Mode Type." Solution: Make sure all required fields (marked with an asterisk) are filled in.

  • If you are bidding on the lane, make sure that all of the orange headers with the * are filled out

  • If you are not bidding on the lane, make sure that all of the orange headers are blank for that lane.
